Executive Assistant I

7 Eleven is a global leader in convenience retail, headquartered at our Store Support Center in Irving, Texas. In this role, you will provide essential administrative support to our Legal Department comprised of in-house lawyers, paralegals, and other professionals, with a strong focus on matter management, legal invoice processing, and effective collaboration with teams across the business.
Key Responsibilities:
- Support legal matter management, including opening and closing matters, maintaining matter lists and databases, tracking deadlines, and helping ensure data accuracy and completeness.
- Maintain organized electronic files for matters, contracts, and other legal records, in alignment with records retention and compliance requirements.
- Coordinate and process legal invoices from outside counsel and vendors, including initial review for accuracy, coding to appropriate cost centers/matters, resolving discrepancies, and routing for approval.
- Work closely with accounting and other departments to ensure timely payment of legal invoices and adherence to company billing guidelines.
- Assist with contract workflows (e.g., routing agreements for review and approval, tracking status, coordinating signatures, and helping maintain contract logs or databases).
- Help coordinate department activities and projects, including team meetings, trainings, and cross functional initiatives with other departments.
- Provide day to day administrative support to attorneys and legal staff, including calendar management, meeting coordination, and travel arrangements.
Qualifications:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- 5+ years of administrative experience; experience supporting a legal department or professional services environment strongly preferred.
- Experience with matter management, e billing, or legal invoice processing tools is a plus.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with document management and e signature tools is preferred.
- Strong organization and time management skills, with the ability to manage multiple matters and deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with strong attention to detail and accuracy.
- Demonstrated ability to collaborate effectively with cross functional partners (e.g., Finance, HR, Operations, Real Estate) and to provide high quality internal customer service.
- Proven ability to handle confidential information with discretion and professionalism.
