Executive Operations and Administrative Assistant

Job Summary:
The Executive Operations & Administrative Assistant provides high-level administrative and operational support to senior leadership, while reporting directly to the Senior HR Director. This role serves as a key partner across HR (People), Risk, IT, and Travel functions, ensuring seamless coordination of executive priorities and business operations.
The position requires a highly organized, detail-oriented professional who can manage confidential information, support cross-functional initiatives, and balance executive support with operational responsibilities.
Main Responsibilities:
Executive & Administrative Support
- Assist with shipping and logistics coordination.
- Prepare for Dallas office meetings and coordinate presentations and participant engagement.
- Manage office operations including supplies, scheduling, and facilities.
- Oversee vendor relationships for events and office services.
Operational & Cross-Functional Support
- Support daily operations across departments by handling administrative tasks, coordinating activities, and ensuring teams have needed information and resources.
- Assist with planning and tracking projects by gathering information with cross functioning departments, conducting research, scheduling tasks, and supporting key initiatives.
- Review processes and help implement changes to reduce inefficiencies and improve productivity.
Risk Management Support
- Assist in risk management projects and governance initiatives.
- Gather, analyze, and validate data for reporting and decision-making.
- Support presentation preparation, documentation, tracking, and reporting cycles.
- Coordinate with stakeholders to ensure compliance and program execution.
Travel Coordination
- Manage domestic and international travel logistics
- Coordinate flights, accommodations, itineraries, and visa requirements
- Prepare and reconcile travel-related expense reports
IT & Vendor Support
- Provide technology‑related support to address and manage office IT issues.
- Ensure smooth tracking and coordination of IT‑related activities to support effective issue resolution.
- Serve as a liaison to support collaboration between 7&i and 7IN on technology‑related topics and initiatives.
People (HR) Support
- Partner with HR on onboarding and employee logistics
- Coordinate equipment setup, badge provisioning, and system access
- Support employee engagement initiatives and internal communications
Supervision/Management of others: N/A
External Network: SEI,7&i Holdings, Various Outside Resources, Vendors, and Global Industry Leaders and Stakeholders
KPI’s:
- Accuracy and timeliness of reports and documentation.
- Successful coordination of travel and events.
- Contribution to risk and operational initiatives.
- Process efficiency improvements.
Job Requirements and Qualifications:
Education: Bachelor’s degree in business administration or related field (or equivalent experience).
Work Experience:
- 3-5 years of experience in administration, operations, or executive support.
- Strong organizational and multitasking skills with high attention to detail.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
Preferred Skills and Experiences:
- Experience supporting multiple teams or functions in a fast-paced environment.
- Familiarity with HR processes, onboarding, or HRIS systems.
- Experience with travel coordination or IT management.
- Exposure to financial processes such as invoicing or expense report tracking.
Language Skills: English proficiency; bilingual preferred
Location: Dallas, TX USA
